With 12 million users, 91,500 installations, and more than 1,500 partners, SAP is the world's largest enterprise software company and the world's third-largest independent software supplier overall. Duke University and Duke Health System have used SAP software for six years to run financials, order materials and pay employees. Many of these transactions are run in the R/3 program. SAP Business Warehouse (BW) was introduced at Duke several years ago to support financial, procurement and HR reporting. The newest member of the SAP Duke family is the web-based iForms – a payroll forms transaction website with staff and position information, which will be rolled out in 2005.
2. How do I gain access to R/3?
Depending on the business needs of your position, you and your supervisor will determine the kind of access you need. For example, if you are responsible for grants, you need access to run financial reports. For ordering materials, you need MM or procurement access. If you are responsible for payroll, you need access to one or several HR/Payroll profiles. Then, you can contact your User Administrator to sign you up for R/3.
3. Who is my User Administrator and what can they do?
Your User Administrator should be listed under your department on our User Administrator webpage.
Your User Administrator can sign you up for an SAP R/3 ID or can edit your profile. The UA can also change a profile for a position. If you don’t see your department or User Administrator listed, email r-3@duke.edu.

5. What classes should I take after the Introduction to R/3?
Depending on the business needs of your position, you will take classes in financials or procurement. For further information, you may view our class descriptions, class schedules and materials.
6. How do I find out if a check has been issued for a vendor’s invoice?
Please review the step-by-step instructions on Reconciliation and Documents. There you will see a section about how to see if a check has been issued.
7. What Do I Do If I Forget My Password?
If a user forgets their password, they must call the DHTS/OIT Help Desk. Only the User can call the Help Desk to request a password reset. The User Administrator cannot perform this function. The following verification will be required to have a password reset:
- User's name and phone number
- Duke unique ID
- R/3 Login (NET ID)
If the user can provide all of this information, the Help Desk will reset the password and provide the new password to the user over the phone. This password will be pre-expired, so the user will need to change the password the first time that they log in.
